How to attribute a sale that started on WhatsApp
Work out which campaign produced a WhatsApp enquiry using reference codes prefilled messages and separate numbers rather than guesswork at month end.
The enquiry with no source attached
A message arrives on your business number. Someone wants a quote. Three weeks later they pay. Nowhere in that exchange is any record of whether they came from a Google search a Meta ad an Instagram bio link or a printed banner outside your shop. For most Indian businesses WhatsApp is now the largest single enquiry channel and the least documented one.
The result is a reporting hole that swallows the channel you spend most of your budget on. Paid campaigns get judged on form fills while the real conversations happen somewhere your dashboard cannot see.
What this costs and what WhatsApp will never tell you
WhatsApp does not hand you a referrer for most entry points. A person who saves your number from a billboard and messages you next week is untraceable by any technical means. No tool recovers that. Everything described here works by stamping the source before the conversation starts rather than discovering it afterwards.
On cost the free WhatsApp Business app handles reference codes and prefilled messages at no charge. Moving to the WhatsApp Business Platform through a provider brings per conversation charges set by Meta plus the provider's own fee and 18% GST on Indian invoices. That step buys automatic capture and CRM logging. It is not required to start and it is the main expense if you choose it.
Who needs this and who is overbuilding
Skip the whole apparatus if you receive a handful of enquiries a week and one person answers them all. Asking how did you hear about us in the second message costs nothing and performs better than any technical setup at that volume. A business spending money on a WhatsApp API provider to attribute twelve conversations a month has bought reporting it cannot act on.
The work earns its place once you run paid campaigns across more than one platform or once more than two people answer the same number. It also earns its place for any business where a single customer is worth a large amount. A real estate or equipment dealer losing track of which campaign produced one closed sale is losing a meaningful piece of its budget evidence. Businesses where WhatsApp is only a delivery notification channel should not touch this.
Four ways to stamp the source before the chat begins
Click to WhatsApp ads are the cleanest case. Meta can pass a reference payload with the first message so the conversation arrives already labelled with its campaign. Through the WhatsApp Business Platform that payload lands in your CRM automatically. On the free app you see it as part of the opening message instead.
For everything else use a prefilled message. A wa.me link accepts text so the visitor's first line can read that they are enquiring about a specific page or offer. Give each placement its own wording. The pricing page sends one phrase and the Instagram bio sends another. Printed material and exhibition stands work the same way through a QR code pointing at a distinct link.
The third method is separate numbers for high value channels. One number on the website and a different one on hoardings removes all ambiguity. The fourth is discipline rather than technology. Whoever answers tags the conversation in your CRM at the moment it opens using a fixed short list of sources. Free text destroys this within a month so the list must be a dropdown of six or eight options.
What to measure and what will flatter you
The number that matters is the share of WhatsApp enquiries that arrive with a known source. Start by measuring that share rather than the attribution itself. Once it passes a level you trust you can read cost per qualified conversation by campaign and compare it against your form enquiries.
Total message volume is the flattering figure. Chats initiated and messages received both rise when you broadcast to your existing list and neither indicates new demand. Response rate inside the app sits in the same category. Judge the channel on qualified conversations and on closed revenue traced to a labelled source.
The common mistake
Nearly every business runs one number everywhere and reconstructs sources at month end from memory. Memory favours the campaign the team discussed most recently. Whichever platform the owner was reading about in the last fortnight collects the credit for conversations it never produced.
This is expensive in a specific way. The untagged WhatsApp pile usually gets filed as direct or organic which makes paid campaigns look worse than they are and search look better than it is. Budget then moves away from the channel that was working. Reconstruction after the fact is not attribution. It is a vote.
A note on messaging people who did not write first
Attribution and outbound marketing are different activities with different rules. Responding to an enquiry is ordinary business communication. Sending promotional messages to a list requires opt in under Meta's own policies and sits alongside Indian rules on commercial communication and personal data.
The mechanism is that your opt in record has to exist before the message goes out and it has to show what the person agreed to receive. A qualified professional should confirm what applies to your business before you begin broadcasting.
This guide explains how something works. It is not legal, tax or financial advice, and rules change. Confirm anything regulatory with a qualified professional before you act on it.
