How to add WhatsApp as a conversion path on your site
Add WhatsApp to your website as a route that produces tracked enquiries rather than a floating button nobody is rostered to answer.
Why the form is losing to a chat window
An Indian buyer who wants a price will usually rather send a message than fill a form. A form asks for a name, an email address and a reason for enquiry before giving anything back. WhatsApp asks for nothing and gives an instant reply. On a phone the gap between the two is enormous.
So the question is rarely whether to offer WhatsApp. It is how to add it without losing the record of the enquiry, the ability to measure which page produced it, and the ability to hand it over when the person holding the phone is on leave.
What it costs and what it excludes
A click-to-chat link excludes everything except the conversation. It writes nothing into your CRM, keeps no searchable record outside the handset, attributes nothing to a campaign and produces no reporting. Those capabilities require the WhatsApp Business Platform through a provider which is charged per conversation or per message. Indian providers add GST at 18% on the fee.
The real cost is staffing. A chat route creates an expectation of a reply in minutes rather than in a working day. If nobody is rostered to answer during the hours your site receives traffic you have built a channel that converts worse than the form it replaced. Decide who answers before you add the button.
Who should not add it
Do not add WhatsApp if your enquiries are handled by one person who is often on site, driving or in theatre. An unanswered message is worse than an unanswered form because the sender can see it was delivered. A form implies a day. A chat implies minutes and missing that reads as indifference rather than as a backlog.
Two more cases should think carefully. Businesses needing a retrievable trail of what was promised will struggle to produce conversations scattered across a handset. And a business whose sale requires a specification, a drawing or a written quotation often finds chat traps the enquiry in a medium too thin for the work. In both cases WhatsApp is better used to start the conversation and move it quickly onto email.
How to implement it properly
Use a click-to-chat link containing your number in international format with a pre-filled message. Make the pre-filled text different on every page so the first line tells you where the person came from. A line naming the product and the page saves the first two exchanges and gives page-level attribution without any analytics work.
Put the link where the decision happens rather than only in a floating bubble. The strongest positions are beside the price or the specification, at the end of a service description, and on the thank-you screen after a form submission. State your answering hours next to the button and configure an away message so an out-of-hours sender knows when to expect a reply.
For anything beyond one person answering, move to the Business Platform through a provider. That gives a shared inbox for several agents on one number, a record that survives a staff departure and a route into your CRM. Fire an analytics event on every click so the channel appears in your reporting beside form submissions.
How to judge whether it is working
The metric that matters is qualified conversations and median first reply time. Count the conversations that reached a quotation, a booking or a site visit and measure how long the first reply took. Those two numbers together tell you whether the channel produces revenue and whether your staffing matches the demand.
The metric that flatters is the click count on the button. Clicks are easy to generate with a prominent bubble and many of them are accidental taps on a phone. A rising click count with flat qualified conversations usually means the button is in the way rather than that interest has grown.
The common mistake
The expensive mistake is running WhatsApp on a personal number belonging to one employee. Every enquiry, every negotiated price and every customer relationship then lives on a handset the business does not own. When that person resigns the history leaves with them and customers continue messaging a number that no longer reaches you. Use a number registered to the business from the first day.
The second mistake is removing the form once chat traffic grows. Chat volume is visible and form volume is quiet so the form looks redundant. It is not. A form captures the buyer who is comparing suppliers at midnight and does not want to identify themselves, and it leaves a structured record that a chat does not. Run both and compare their qualified outcomes rather than their volumes.
A note on messaging people first
Inbound chat and outbound messaging are different things with different rules. A person who messages you has opened the conversation. Sending promotional messages to a list you collected elsewhere depends on prior consent and on message templates being approved in advance by the platform, and unsolicited commercial messaging is separately regulated in India. How those requirements apply to your list and your sector depends on your circumstances and a qualified professional should confirm it for you. Running that outbound programme is a separate discipline from the website work described here and sits with WhatsApp marketing.
This guide explains how something works. It is not legal, tax or financial advice, and rules change. Confirm anything regulatory with a qualified professional before you act on it.
