The Employees' Provident Fund is a retirement savings scheme run by the Employees' Provident Fund Organisation. Establishments covered by the EPF law must register and contribute each month for eligible employees. Registration is mandatory once an establishment employs 20 or more people, and smaller employers can choose to register voluntarily. Employees whose basic wages are up to ₹15,000 a month must be enrolled in a covered establishment.

Vibence helps employers complete EPF registration and set up for regular compliance. Qualified professionals from the Vibence partner network prepare and file the online application on the EPFO portal, help you obtain your establishment code and explain how monthly contributions and returns work. We also guide you on generating Universal Account Numbers for employees, so your team's provident fund accounts are linked from the start.

EPF Registration for Employers: FAQs

When is EPF registration mandatory?

EPF registration is mandatory for establishments covered under the EPF law that employ 20 or more people. Once covered, the establishment generally remains covered even if the headcount later falls below 20. Establishments with fewer employees can register voluntarily with the agreement of the employer and the majority of employees.

Which employees must be enrolled in EPF?

In a covered establishment, employees whose basic wages, including dearness allowance, are up to ₹15,000 a month must be enrolled. Employees earning above this limit can be enrolled if they have not previously been members, subject to the rules. International workers have separate provisions. We help you identify who must be enrolled.

How much does the employer contribute to EPF?

Generally, the employer and employee each contribute 12 percent of the employee's basic wages and dearness allowance. Part of the employer's share goes to the Employees' Pension Scheme. A lower rate applies to certain smaller or specified establishments. Administrative charges are also payable by the employer each month.

What is the due date for EPF contributions?

EPF contributions for a month are generally due by the 15th of the following month, paid through the electronic challan cum return on the EPFO portal. Late payment can attract interest and damages, so it makes sense to align contributions with your monthly payroll cycle.

What happens after EPF registration?

After registration, you receive an establishment code. You then generate or link Universal Account Numbers for eligible employees, deduct their share from salaries and pay contributions every month. You also keep employee records updated on the portal when people join or leave. Ongoing filings can be managed as part of our accounting plans.
